​As our front-desk receptionist you will be the first point of contact to our customers, clients and vendors. This position, therefore, requires an upbeat, enthusiastic and self-motivated individual with excellent communication and organizational skills, as well as people skills, in order to successfully portray our company's philosophy for excellence. You will collaborate closely with Principal and Associates to maintain the studio’s tasks at an optimal flow.

Desired Qualifications
  • Ideal candidate will have completed an appropriate certificate program or have a design degree
  • Internship and/or Experience with a Design Firm and/or Retail and/or Customer Service
  • Proficiency in Microsoft Suite (Outlook/Word/Excel/PowerPoint) REQUIRED
  • Excellent organizational and customer service skills
  • Strong verbal & written communication skills
  • Able to read and understand blueprints
  • Adept using tape measure, and other measuring devices
  • A vehicle is also a must for independent travel to and from appointments, project sites, workrooms and showrooms.
  • Excellent driving record
 
Responsibilities (included but not limited to)
  • Manage in-coming calls and messages, office contacts and calendar
  • Organize and update materials/reference library
  • Oversee incoming and outgoing mailings, track deliveries and couriers.
  • Communicate accurately and professionally with clients, architects, site contractors, subs, vendors and reps as necessary for proper follow-through of details as discussed and reviewed with superior managers
  • Create electronic files and hard-binder project folders using Microsoft Office
  • Schedule meetings as reviewed with superior managers
  • Ability to work under pressure on overlapping duties and deadlines

We are seeking a self-motivated, detail oriented individual dedicated to providing quality product service to the firm's client base. As Bookkeeper/Office-Manager you will be the main point of contact for Clients and Vendors in relation to their accounts, orders and balances; while making daily data entries for all office and projects' expenses while maintaining office proceduers. Ideal candidate will be a highly organized, motivated, and enthusiastic individual who enjoys detailed accuracy of their accounting, and customer relations.

Responsibilities
* Internal Accounting - A/P, A/R, client billing, banking.
* Coordination of timely work flow - Understand, monitor and communicate the priorities and status of the firm's work flow.
* Tax return support - Facilitate pre and post- tax preparation administration services including the processing of tax organizers and the input of all client tax data.
* Bookkeeping and Financial Statement engagements - Maintaining client's general ledgers, A/P, report generation.
* Final product quality review - Maintain/establish quality controls for final product before delivery to the client.
* Maintenance of all reports, client records and office supplies - Manage and maintain the firm's filing system, communications and all client records. Monitoring and ordering all office supplies.
  • AR:
    Analyze vendor work order, invoices, and statements for completion and delivery
    Manage the accounts receivable collection process
    Enter receipts and classify all bills appropriately
  • AP: 
    Enter & classify all bills appropriately
    Review payables and prepare weekly check run
    Track prepaid expenses and make associated journal entries
    Accrue month-end expenses as appropriate
  • Payroll:
    Review and record weekly time sheets and Invoice appropriate time
    Prepare associated journal entries
  • Journal Entries/Reconciliation:
    Prepare monthly bank statement reconciliations
    Prepare monthly depreciation entry
    Prepare journal entries as needed
  • Analysis & Reporting:
    Monitor cash flow & forecast
    Monitor Budgets vs. Actual
    Review and analyze monthly general ledger activity
    Prepare P&L and Balance Sheet

Desired Qualifications:
  • A bachelor's degree in Accounting or with 2+ years of directly relevant experience
  • Proficiency in basic accounting principles, QuickBooks, Microsoft Excel and Outlook
  • Understanding of Design Manager, a Plus
  • Clean up experience a plus
  • Strong written, verbal and account relations skills

Minimum 5 years administrative and bookkeeping experience.
Proficient in basic accounting principles, Word, Excel and Outlook with strong knowledge of QuickBooks. 
Must be able to work independently and take initiative.
Must be highly organized and pay strong attention to detail and accuracy.
Ability to multitask and function well in a fast paced environment.

As Director of Acccounts for JFS Design since 2010, Dianne Khalaj is the company's primary liaison and strategist working with Clients and trade accounts. Khalaj is responsible for maintaining the studio's business records and project data, as well as Client and vendor operations.

Interior Archectural CAD Drafter - Intermediate Level
* Minimum 2-3 years related experience within a residential or commercial design firm
* Degree in Interior Design or Architecture 
* Proficiency with AutoCAD 2011 or later & 3D Rendering


Studio Intern
* Current enrollement in an accredited  college wtihin an interior design or architectural or related field
